Overview

We’re seeking a sharp, proactive, and people-oriented EA & Operations Coordinator to
support the CEO of FBU Solutions.

This is a high-impact, multi-functional role for someone who thrives in a fast-paced
environment and enjoys being at the centre of how a business operates and grows. You will
act as the operational backbone to the CEO, while also supporting across sales and
internal operations.

This is not a traditional EA role. You’ll be someone who naturally takes ownership, wears
multiple hats, and confidently steps into different areas of the business where needed. From
managing priorities and improving systems, to supporting hiring and contributing to sales
processes, you’ll play a key role in driving efficiency and growth behind the scenes.

Key Responsibilities

Executive & Leadership Support

  • Provide high-level, 1:1 EA support to the CEO, acting as an extension of their
  • day-to-day
  • Manage and optimise the CEO’s time with a strategic mindset
  • Prepare agendas, notes, and briefing materials for meetings, ensuring follow-ups are
  • actioned
  • Proactively anticipate needs and remove friction from the CEO’s workload
  • Act as a gatekeeper across email, Slack, and internal/external communications
  • Take ownership of ad hoc projects, driving them from concept through to execution

Operations & Project Support

  • Coordinate internal operations across CRM, contracts, invoicing, and workflows
  • Maintain and improve internal systems, ensuring processes are efficient and scalable
  • Support project delivery through timeline management, team coordination, and
  • follow-ups
  • Use tools such as ClickUp and Monday.com to track priorities and ensure
  • accountability
  • Assist in documenting SOPs, workflows, and internal processes
  • Act as a central point of coordination between the CEO and wider team

Sales Support (Light & Strategic)

  • Own the management and ongoing maintenance of the CRM system (Monday.com),
  • ensuring all data is accurate, up to date, and proactively maintained to support clear
  • pipeline visibility
  • Support lead generation activities and outbound coordination where needed
  • Prepare proposals, pitch decks, and client-facing materials
  • Track sales performance, ensuring timely follow-ups and consistent progression of
  • opportunities
  • Provide general support to ensure smooth and efficient execution of the sales
  • process
  • Ensure follow ups are completed and documented.

Recruitment & HR Support

  • Support end-to-end hiring coordination, including CV screening, outreach, and
  • interview scheduling
  • Assist with sourcing candidates via LinkedIn and other platforms
  • Coordinate onboarding for new hires to ensure a smooth experience
  • Support HR administration, documentation, and employee record management
  • Assist with performance processes, internal communications, and team engagement

Culture & Office Coordination

  • Manage internal logistics, office coordination, and day-to-day team support
  • Help drive company culture through team events, recognition, and engagement

Skills & Qualifications

  • Exceptional attention to detail and strong organisational skills
  • Confident communicator, both written and verbal
  • Highly proactive with the ability to anticipate needs and take initiative
  • Comfortable managing multiple priorities in a fast-paced environment
  • Strong problem-solving ability and confidence working independently
  • Commercial awareness and interest in business growth
  • Experience with tools such as Google Workspace, Slack, ClickUp, and Monday.com

Experience

  • 4+ years’ experience in an EA, PA, or similar operational role
  • Experience supporting senior leadership, ideally in a fast-moving environment
  • Exposure to recruitment processes (screening, scheduling, coordination)
  • Experience working with CRM systems and supporting sales/admin processes
  • Familiarity with financial admin (invoicing, expenses, working with bookkeepers)
