Overview

We’re looking for a proactive, people-focused, and organised professional to help scale our agency (FBU Solutions) and support our key client, New Leaf Products. This hybrid role spans HR operations, office management, internal culture building, and general administrative support. You’ll help shape the way we work and connect as a team, supporting the daily flow of office life while streamlining the systems and processes that help us thrive.

From hiring and onboarding to ongoing employee experience, you’ll play a key role in fostering a positive, well-supported, and productive workplace.

Key Responsibilities

Talent Acquisition & Onboarding

  • Manage end-to-end hiring processes, from sourcing and screening to interview coordination and offer communication.
  • Ensure a seamless onboarding experience by preparing documentation, scheduling introductions, and serving as a first point of contact for new hires.
  • Oversee the offboarding process, including documentation, knowledge transfer, and exit feedback.
  • Assist with recruitment marketing and job posting updates (e.g. LinkedIn, internal channels).

Office & Team Experience

  • Maintain a welcoming, functional workspace, ensuring desks, equipment, and supplies are in place.
  • Organise in-office and virtual team events, including lunches, socials, and meet-ups.
  • Act as the go-to person for team feedback and office needs, helping to create a comfortable, collaborative environment.
  • Continuously identify and implement ways to improve workflows, tools, and team-wide operations.

People & HR Coordination

  • Be the first point of contact for general HR queries, guiding team members on policies, procedures, and available support.
  • Support the performance cycle by coordinating timelines, documentation and manager follow-ups.
  • Maintain accurate and up-to-date employee records across HR systems.

Administration & Culture Ops

  • Track and support employee engagement initiatives by gathering feedback, pulse surveys, and team data to surface actionable insights.
  • Maintain internal documentation, files, and company records (e.g. policies, contracts, tools).
  • Support cross-functional projects like awards submissions, internal branding, or SOP creation.

Executive & Internal Support

  • Act as a buffer for the CEO by triaging requests and supporting internal communications.
  • Schedule meetings, prepare agendas, and ensure key action points are tracked.
  • Help draft internal updates, announcements, and team-wide reminders.
  • Occasionally support Directors with special projects or initiatives.

Skills & Qualifications

  • Strong organisational and communication skills
  • Proactive, solution-focused mindset
  • Comfortable with hiring tools (LinkedIn, CV platforms, ATS)
  • Ability to work independently while managing multiple priorities
  • Discretion and professionalism when handling confidential information
  • A people-person with natural empathy and enthusiasm
  • Tech-savvy – confident using Google Workspace, Slack, and basic tools like Canva, Trello, or Monday.com
  • You’re collaborative, flexible, and thrive in a fast-paced, sometimes messy startup environment.

Bonus Responsibilities (Optional / Growth Opportunities)

  • Coordinate learning and development initiatives (e.g. training plans, lunch & learns).
  • Assist in setting up internal policies, SOPs, and office playbooks.
  • Shadow leadership meetings to support note-taking and follow-ups.
  • Assist with internal brand marketing or culture branding (photos, quotes, staff stories).

Hours

Hours of work – full time London office based position, following UK office hours 9am-5pm, Monday to Friday.

Salary:

£32 – £36k per annum.
